Receptionist
· Receive, answer and transfer phone calls, receive and send mails, faxes, shipping freights
· Welcome guests and arrange welcome drinks
Recruitment
· Responsible for recruitment for both Heritage Line and Trails of Indochina, particularly in the process of receiving recruitment requirements from various Departments.
· Receive and Screen applicants’ files:
- Transfer the applicants' files to HR Supervisor
- Inform the applicants of recruitment schedule
Administrative
· Prepare meeting rooms and set up audio-visual equipment for conferences based on meeting registration.
· Handle monthly orders and distribution of stationery for the Head Office.
· Prepare workspaces, office equipment, email accounts, telephone extensions, stationery, and business cards (if required) for new employees.
· Compile expense reports on assets, office facilities, equipment, and stationery.
Shipping freights
· Assist all departments involved with the shipment of prepared freights.
· Ensure documents are delivered to departments daily.
· Shipping gift materials and Marketig product to regional office
Wharehouse Managerment
· Tracking the quantity of each item in the warehouse, such as gift materials for guides to bring on tours and marketing products.
Purchasing
· Assist in supporting all departments with purchasing requests.
· Coordinate with other departments to ensure smooth and timely processing of orders, invoices, purchase orders, and related administrative tasks.
· Select the best vendors based on quality, price, terms, delivery, and services, in compliance with the Purchasing Policy and Procedures.
· Review contracts before sending them to the Accounting Department for verification.
· Maintain and update purchasing records.
Other tasks
· Others tasks assigned by the Admin & HR Manager, HR Supervisor
Reporting
· Make a monthly stationary report and send to the Admin & HR Manager
· Make a monthly summary of Leave Report and submit to Admin & HR Manager
· Make expense reports on assets, office facilities and equipment, stationary
· Make a monthly check in – check out report
· Make a monthly deskphone monitoring
· Minimum 2 years in a similar role
· Tertiary studies in social sciences
· Certificate in office applications
· Knowledge of administration, tourism
· Good – Written and spoken Vietnamese
· Good - Written and spoken English
· Good - MS Office (Excel, Word, PowerPoint)
· Good – Communication
· Good - Negotiation
